Role and Team
We are looking for a dependable and detail-focused Sales Operations Support Specialist to join the ADESA Sales Operations team. Serving as the primary execution engine for Sales Operations, specialists in this hourly role handle recurring data tasks, reporting, account setup, and auditing to assist the Sales Team, while managing digital auction channel escalations to ensure inventory remains accurate and sale-ready. Working closely alongside Dealer and Commercial Sales Operations Managers, this position offers clear pathways for career advancement toward Sales Operations Manager roles.
Reports To: TL, Sales Operations Support
Responsibilities
- Oversee Salesforce case resolution and handle escalation management.
- Audit digital vehicle listings across Timed, Dealerblock, and Simulcast channels to ensure full accuracy.
- Reconcile vehicle inventory data across AutoIMS and AMS by conducting regular inventory, title, and redeem audits.
- Gather, compile, and issue routine and ad-hoc reporting, highlighting operational trends and key exceptions for Sales Operations Managers.
- Manage new account onboarding for clients and 3PRs, complete VIN/listing updates, provision system access, and maintain data integrity within OpenLane and AMS.
- Compile central invoicing and PII rebate data to submit for Finance and SOM review and approval.
- Leverage and create AI and automation tools (such as Claude) to streamline workflows while following and refining standard operating procedures.
- Provide timely communication and support to auction sites and operational partners.
- Partner cross-functionally with Fleet Lease, Dealer Relations, and Dealer Registration teams.
- Demonstrate flexibility, effective prioritization, and project management in a fast-paced environment.
- Pinpoint workflow inefficiencies and flag opportunities for process improvement.
- Maintain clear communication, swift responsiveness, and accurate performance within established deadlines.
Qualifications
- High school diploma or equivalent required; Bachelor’s degree preferred.
- 0–2 years in an operational, administrative, data, or auction/automotive support role; entry-level candidates will be trained on ADESA systems.
- Strong attention to detail, accuracy, and reliability, with consistent task completion within deadlines and SLAs.
- Working proficiency with Excel / Google Sheets and comfort learning proprietary platforms (AMS, AutoIMS, ADESA.com, Simulcast, OpenLane, DealerBlock).
- Comfort using AI / automation tools (e.g., Claude) to complete and improve work.
- Clear written and verbal communication, organization, and time management across multiple recurring tasks.
- Problem-solving, adaptability, and a willingness to learn and grow toward a Sales Operations Manager role.
Beneficial Skills:
- Background in wholesale automotive, auction, or marketplace operations.
- Prior reporting, data, or quality-assurance experience.
- Experience building simple automations or AI skills.
